The file management and tracking capabilities are provided by MINDS. MINDS keeps track of such information as image type (color, black & white etc.), database to which the image belongs, storage drive and platter the image file is stored on and beginning sector where the image file resides on the platter. MINDS software is the most important software component that allows integration of imaging software with the database application and can use a wide variety of storage devices to store and retrieve images. MINDS software keeps a log of all image folders and pages and the storage location. When a user makes a request for an image folder or a page, MINDS immediately retrieves the image. The user does not need to know the storage device, server, platter, or image file type because MINDS keeps track of all this information for you.

Storage Devices: MINDS provides access to several storage devices spread on several servers over the network. The storage devices may include magnetic drives, CD-ROM drives, optical drives, jukeboxes, tape drives etc.

Security: MINDS provides security up to the page level. It therefore allows only users with the proper authorization code to access certain document images. In the case of accidental erasures and hard disk crash, MINDS provides the capability to rebuild the database by scanning all the mounted media and rebuilding the database.

Advanced Caching: MINDS keeps track of the last called files. Depending upon the configuration, MINDS will keep a specified number of frequently called documents in cache for fast retrieval.

Categories: MINDS stores files in folders called categories. Every mounted media belongs to one category (multiple media can belong to the same category) and only those files that belong to that category can be stored on it. This allows different departments in an organization to store their relevant documents on different platters.

Retention Periods: MINDS stores files with the same expiration date on the same media, which allows minimizing the number of platters mounted at the same time and the number of mounting/unmounting platters.
